Timeless Tails – Policies and Procedures

Cancellations

We understand that unexpected emergencies can arise. To help us manage our schedule and accommodate clients on our waitlist, we kindly ask for at least 48 hours’ notice to cancel or reschedule an appointment.
• Less than 24 hours’ notice (without an emergency) may result in a 50% charge of the total groom cost to cover lost time and resources.

Thank you for your understanding — this policy ensures fairness for all clients and helps our business run smoothly.

Missed Appointments / No-Shows

We send reminder messages before every appointment to give you ample opportunity to confirm, reschedule, or cancel.
• If you miss your appointment without prior notice, we reserve the right to request full payment for the scheduled groom.

Missed appointments affect not only our schedule but also other clients waiting for availability. We appreciate your understanding.

Late Arrivals

At Timeless Tails, we provide private, one-on-one grooming sessions in a calm, unhurried environment. To maintain this experience for every client, punctuality is essential.
• If you are running late, please call or message us as soon as possible.
• Arriving more than 30mins late may reduce the quality of care we can provide or affect the next appointment.
• If you arrive more than 30mins late without notice, we may:
• Refuse the appointment if there isn’t enough time to complete the groom, and/or
• Request full payment to cover our reserved time and costs.

Repeated late arrivals without notice may require prepayment for future appointments.

Pick-Up / Collection

We’ll notify you when your paw-pad families groom is complete, to allow 30mins for pick-up. Punctual collection helps us keep the environment calm and ensures smooth changeovers between clients.

Late Pick-Up Fees:
• A $20 fee per 30 minutes will apply for late collection beyond the agreed pick-up time without prior communication.
• If your dog is not collected by closing time, an additional overtime charge may apply.

Matting Charges

At Timeless Tails, your pet’s comfort and safety are our top priority. Matting can cause significant discomfort, skin irritation, and even injury if not handled properly. Removing mats requires extra time, care, and expertise.

To ensure the best outcome for your dog, please note the following:
• Additional fees starting from $20 for a small dog will be applied to cover the extra grooming time and wear on tools.
• For severe matting that cannot be safely brushed out, a shorter style or full clip-down may be required for your dog’s comfort and safety.
• We will always discuss the best option for your pet before proceeding.

Regular grooming appointments and at-home brushing are the best ways to prevent matting and keep your dog’s coat healthy and comfortable.
